What if I forget the password?

Click Forgot Password in the Log-In box to retrieve your password used previously. TeamMinders notifies you of your password at the e-mail address you specify on Request Password Page.

Setting up a Members list

How do I set up a Phone Tree?

Each player may have up to two contact numbers programmable through the Edit Player page. Once the contact numbers are entered, click the Phone Tree option in the toolbar and specify the numbers you want included in the Phone Tree.

How do I collect all of my group members’ phone numbers?

When a team manager has entered the players’ names and e-mail addresses, he may solicit the detailed information on each player from the Players page by clicking Solicit Player Info from Contacts. This action opens a Retrieve Information page. Clicking on “Solicit Player Info from Contacts” sends e-mails to player contacts (parents) to fill out the remaining phone numbers.

How can I add or edit phone numbers in my roster?

Additional phone numbers or editing phone numbers is similar to collecting phone numbers for the first time, described above. Once a new number is obtained, go to Phone Tree, click on all the numbers you want included in the Phone Tree and click Save Changes. This sends a message to the System Administrator to update the Phone Tree.

How can I get a list of my roster?

The roster may be printed or e-mailed by clicking Team Home page and selecting either Print Roster or e-mail Roster.

Charges and message limits

If a member is in an area code that is long distance, do I get charged extra?

No, the system is capable of calling local or long distance numbers without costing you extra.

Pagers, Tele-Zapper & Caller ID

Does AVM work with pagers?

AVM delivers recorded messages to human recipients only.

Will a Tele Zapper cause TeamMinders’ AVM to fail?

AVM delivers recorded messages to human recipients only.

What will show up on Caller ID when TeamMinders calls my group members?

One of several TeamMinders’ phone number should be displayed in the Caller ID.

Sending Messages and Calling Times

How do I record a message?

Messages can be recorded by the managers or coaches with a four digit password which is created by the team manager the first time they create the phone tree.

How long can my message be?

Messages can be any length. However, since messages are delivered to all members of your team one at a time, we suggest you keep the messages short to avoid a long delay before reaching the last member.

When does the TemMinders’ AVM system call the members?

As soon after the message is recorded, the AVM system starts calling each contact specified. Up to two numbers may be specified for each member.

If AVM is unable to deliver the message the day it was sent, will it try again the next day?

AVM attempts to deliver the message to a contact three times, one following the other. AVM does not distinguish the day of the delivery.

What happens when the AVM reaches an answering machine or voice mail?

AVM recognizes human response when calling and distinguishes it from an answering machine or voice mail. If an answering machine or voice mail answers, the system counts it as an attempt. The AVM attempts to deliver the message up to three times.

Call Reports and Group Polling

How can I find out what members were called and which ones were not reached?

The AVM reaches the specified phone tree. If any contact believes a message has not been delivered, we suggest calling the manager directly for an update. There is no way to confirm who was reached or not.

Can I use the AVM to poll members?

We suggest using the survey feature of TeamMinders for polling. AVM should be used primarily for recorded voice messages.

Hotel Reservation

How can I be sure the hotel reservation survey has been broadcast to all members?

TeamMinders delivers e-mails to the contact list to survey hotel needs. The Manager can track the people who have responded. If a contact has not responded, we suggest the Manager contact the member via a phone call or an e-mail to follow up.

How do I, the manager and the coach, use the information members provide in a hotel reservation survey?

Hotel Reservation survey is a tool to collect hotel requirements for overnight stays and expeditiously reserve hotel rooms. After confirming that responses from all contacts have been received, a manager or a coach prints the response by clicking Print on the Reservations page. He/she then gathers credit card information from the contacts. Once this information is manually added to the printed response, the manager faxes the information to the hotel. If the contacts so desire, they may provide the credit card information directly to the hotel.

Does TeamMinders, coach, or the manager, make a hotel reservation with the data members provide?

Hotel reservation is confirmed once the hotel room requirements and preferences are received as well as the credit card numbers.

What “additional info” is the coach or the manager seeking?

Information, such as, need for a rollaway bed, should be included here.

How can a member confirm my stay at a hotel after I fill out the Hotel Reservation survey?

Generally, a manager or a coach only facilitates the collating and distributing the requirements to the hotel. Withholding credit card information prevents a manager/coach to confirm the hotel reservation. Contacts have the responsibility to reach the hotel, provide credit card number, and confirming the reservation.

What type of events can I specify?

A manager or a coach may post any event that he/she determines necessary for the team. Events may include practice sessions, games, social events, etc.

After I add an event to the schedule, how can I view my entry?

All event entries for the next 30 days are displayed on the manager’s home page. They may also be viewed by clicking Search Schedule under Choices.

Can I edit an event after it is already entered?

Managers/coaches may edit the event listed on Manager’s homepage. To do so, click on the Event, change the necessary parameters in the Edit Event box, and click Save Changes.

Archive Documents and Records

File types and formats

What types of documents and records can I archive? What file formats do you accept?

TeamMinders’ Archive Documents feature accepts any file, in any format, the only limitation being that each file downloaded cannot be more than 1 Meg.

Which e-mails do you archive?

TeamMinders archives broadcast e-mails for past 30 days. A listing of e-mails is available on the Manager page.

Can I archive a complete folder?

Yes, you would need to specify the files in the folder to do so.

Storage space

How do I retrieve a file in the archive?

A list of archived files is displayed in the Archives page. Files may be viewed and edited as desired.

How do I know the status of my archive? Can I view a list of my record?

Team and individual performance

How do we indicate a postponed, rained out, or rescheduled game?

Add/Edit Game page allows comments to be added for this under Special Instructions.

How can we view game statistic for a specific game?

Click on the View Season stats to view season or individual game stats.

How can I, manager or coach, indicate if a player did not play a game?

Edit Game page lists the players and their performance. Specify 0 in mp (minutes played.) and click Modify Game tab.

How do I use the + feature of the individual performance?

Net goals scored indicate the team’s performance with or without the specific player in the game.

Once a game is added, how can I edit the game statistics?

Manager/or coaches may go to a specific game page and edit the performance any time.

How can I use the statistics feature to improve individual and team performance?

Statistics feature lists all players’ performance through each game and as the season progresses. The data may be used to monitor an individual’s performance.

Bookmarks

Which websites are most desirable to add to this?

Bookmarks feature is provided as a convenience to all members associated with the team. Managers may specify websites of interest to all members, relating to the subject of the team.

Absence/Tardy Reporting

What is this feature used for?

Parents/Contacts/Players may specify the players who may not be able to attend an event: practice session or games, using this feature. Posting the tardy/absence information sends an e-mail to the coach and the manager the day of the event at a time specified by the manager. It is the Parents/Contacts/Players responsibility to notify the manager, if the specified time has elapsed for the particular day.

Team Accounting

Team Manager may archive the current Team Account file in the Archive. Players and/or their contacts may view and download the file at any time but cannot edit the file. They may, however, edit their local copy of the file.

What is your privacy policy?

BULLETPROOF. We have a very simple and clear privacy policy: WE NEVER REVEAL PERSONAL INFORMATION - EVER. We never sell, lease, rent or give any personal information about you, your team, your phone numbers or messages.

Pricing

How do we get charged for using TeamMinders?

Team Manager will be billed by Teamminders. Teams must collect funds from player/contacts/players to pay TeamMinders. Payment must be received in full to cover all players prior to logging on.

How much disk storage is included in the base price? What is the default limit to storage space?

TeamMinders dedicate 50 Megabytes of storage for a team in multiples of 20 members. Examples are:

1-20 members: 50 Megs

21-40 members: 100 Megs

41-60 members: 150 Megs

How do I increase the limit and how much does this cost?

Storage capacity may be increased in multiples of 10 Megs for one dollar each per member.

How much disk space have I already used? How can I find out?

The system monitors disk space already used. Disk usage may be available by e-mailing to admin@teamminders.com.
